Insurance Teams Eliminate Medical Bill Data Entry With AI
Every provider name. Every total charge. Every client folder. Extracted, organised, and reported automatically by AI while the team focused on work that actually required a human.

This insurance company was paying staff to manually open, read, and transcribe hundreds of medical bill PDFs every billing cycle. Codoro built a tool in two hours that does it automatically, across every single client folder, without a person touching a single document.

800 Insurance Client Folders, Hundreds of Medical Bills, Every Number Extracted by AI

A US-based insurance company was drowning in medical bill PDFs. 800 client folders. Multiple bills per client. Providers ranging from small clinics to major hospital systems, each with a completely different document format. Staff were opening every single PDF by hand, finding the provider name, locating the total charges, typing the numbers into spreadsheets, and doing it all over again for a master summary. Every billing cycle. No shortcuts. No end in sight. The scale made it worse. At 800 clients, this was not a task someone could knock out in an afternoon. It was a permanent drain on staff time, compounded by the fact that no two bills looked the same. A tool that worked on one provider's format broke on the next. The only way through was more human hours, and that was not a sustainable answer.

Our approach

Codoro built a Windows desktop application in under two hours that handles the entire workflow without a single manual step. The tool connects directly to the company's existing Client Files folder on SharePoint, walks through every client subfolder automatically, opens every PDF in the medical folder, and sends it to Claude via the Anthropic API with one instruction: find every total charges figure and the provider name, regardless of how the document is laid out. Bills over 90 pages are split into chunks, processed in sequence, and merged back together, so a 483-page hospital record gets the same clean result as a 25-page clinic invoice. When it finishes, it produces two Excel files: a provider-by-provider breakdown inside each client folder, and a master summary of every client's grand total sitting on the Desktop, ready to use.

Outcomes

800 client folders processed in a single unattended run. Zero staff hours spent on data entry. Two formatted, print-ready Excel files delivered automatically every time. Documents from 25 pages to 483 pages handled without a single configuration change. A task that consumed staff across every billing cycle now takes one click and zero human involvement.

Why it matters

Manual data entry at this scale is not an admin problem. It is a business problem. It consumes skilled staff time on work that produces no insight, creates error risk on every record, and gets worse as the client base grows. This tool does not assist with that work. It eliminates it. Completely. In two hours.

Codoro AI delivered exactly what we needed, fast, precise, and without any hand-holding. Our team no longer touches medical bill PDFs for data entry. That work is simply done. John Beck, US-Based Insurance Company
